Use cases
AI for combat sports and fitness gyms that ship members, not paperwork
Class booking and scheduling, member portals, video library access, kids program intake, e signed waivers, and comms automation, running on a private federation built for one location or many.
Mat time is the goal. The front desk should not be the bottleneck.
Most combat sports gym pain is class booking, member churn, and a front desk doing the same five tasks every day. A gym scales when the head coach can teach instead of answering schedule questions, and when prospect intake runs itself.
Gyms we have worked with ship the same four bottlenecks. First class intake and waiver friction. Class capacity and waitlist management. Member churn from missed comms. And kids program enrollment that requires a parent to call during business hours.
First class intake friction
A walk in wants to try a class. The front desk hands over a paper waiver, takes a phone number, and hopes they come back. Most do not.
Class capacity
The mat fits twenty four. The class books thirty. The coach turns away regulars. A waitlist that auto fills keeps the mat at capacity without the overflow.
Member churn
A member misses three classes, gets no outreach, billing keeps running, and the member cancels. Auto check ins plus an owner alert catch the drop off early.
Kids program enrollment
A parent wants to enroll their kid. The site says call us. Half the parents bail at that step. Web intake with an auto signed waiver fixes it.
What runs inside your federation
Five capabilities that fit alongside your existing platform
Class booking and waitlist
A booking page that fills capacity, manages waitlist auto fill, sends reminders, and surfaces in answer engines for gyms near a given area.
Web waiver and intake
E sign waiver, intake form, and parent signature for kids, all completed on a phone before the first class. Walk in to first class in minutes.
Member churn alerts
A member misses three classes, the owner gets an alert, and the assistant drafts a check in text. The regular gets saved before they cancel.
Kids program portal
A parent enrolls online, signs the waiver, sets up autopay, and gets the schedule. The owner gets a clean roster on their phone.
Video library for remote members
A pay walled video library for members who travel or train at home, billing tied to membership, hosted on your own storage.
Phone coverage without a front desk shift
The voice agent answers schedule, pricing, and intake questions so the coach is not stopping a class to grab the phone.
Why gym data stays inside your own federation
A gym's member records include health disclosures on a waiver, a minor's information on a kids program intake, and payment history tied to autopay. That is not data to hand to a third party booking platform's own model. In a private federation, the waiver flow, the churn model, and the voice agent all read from a member record store that sits on hardware you own, so the reasoning happens where the data already lives instead of being shipped out to be understood.
Real work: TCB Fight Factory
TCB Fight Factory is a combat sports gym in our local network. We built the gym site as a hand coded property with full schema for a gym and sports activity location, class schedule integration, and a kids program intake page that converts. The site ships with answer engine optimization for MMA gym, jiu jitsu, and kids martial arts searches in its service area.
What ships on that property: hand coded schedule pages, full schema, an e signed waiver flow, and the answer engine optimization stack that lifts the gym into AI Overviews for combat sports searches nearby.
Combat sports FAQ
Buyer questions, combat sports specific
Will the booking system replace Zen Planner or MindBody?
Often yes for the front facing class booking. Some gyms keep an existing platform for billing and run our front end on top, reading and writing through the supported channel. We scope that trade off during intake.
What about parental consent for minors?
The waiver flow requires a parent or guardian signature before a minor can book a class. We use audit logged e sign, stored in your own record store, so the signature holds up.
Can the AI take a phone call about class times?
Yes. The voice agent answers schedule, pricing, and intake questions from your own class data, running on your own federation, and hands off real conversations to the owner.
What about protecting a video library if I sell one?
We use signed URL access plus encrypted streaming for member only video, held in your own storage rather than a third party host.
Does this work for a single coach gym?
Yes. The single coach use case is the cleanest. The whole stack is designed to give one coach the leverage of a five person front desk without adding headcount or a recurring seat fee.
